Oakland Park have over 50 years experience within the deer industry, especially in conservation and deer management. We specialize in selling frozen and fresh game to Wholesalers, who in turn serve the catering and retail trades.

The Challenge

Oakland Park faced several operational challenges that demanded a reliable, all-in-one solution. Initially let down by a previous supplier who over-promised and under-delivered, the business needed a system that could support everything from intake through to dispatch while maintaining full traceability. This was especially important due to the unique nature of Oakland’s supply chain – wild venison is sourced from a wide range of suppliers, and weekly intake volumes are unpredictable.

Traceability of carcasses was a key priority, particularly as Oakland Park works toward achieving BRCGS accreditation. The business also required integration with Xero to handle supplier payments – either paid in cash or settled via account at month-end. Another major inefficiency was the manual order process. Orders were written on boards to go down to the factory, and weights were returned to the office by hand, making the whole system time-consuming and prone to error. Moving away from pen-and-paper processes became critical to support a more efficient, modern operation.

The Solution

To start the solution we added a goods inward machine with poly tag printer, so that all animals that come into the building get a batch code. Then through Dimension every carcass that is brought to site by a hunter is booked in and all the details are logged. This purchase order is also sent to Xero for accountancy purposes.

The carcass tag is followed through the factory where a final product label is attached to the product for sale to other businesses, online or export. Through Dimension they can merge carcasses to for a new batch number for things like mince and sausages.

Orders are placed onto the system and then they use our handheld device with our app ProGo to scan each label and complete orders. The final invoice is emailed to the customer with the relevant batch info on it and then it is sent to Xero.

All orders and invoices are totally automated and there is no need for clip boards or writing anything down.
